The Problem: Information scattered across multiple platforms creates unnecessary cognitive load. You're constantly trying to remember where you stored that client note, project idea, or important task.

The Solution: Designate ONE trusted system to capture all information—whether that's Notion, Asana, OneNote, or another tool of your choice.

How it works:

  • Choose your primary tool (I recommend Notion for its flexibility)

  • Create a simple capture system within that tool

  • Whenever information comes in, put it in that ONE spot immediately

  • Develop a consistent habit of checking your system daily

The magic happens when you no longer waste mental energy wondering, "Where the f*ck did I put that?" Instead, you know exactly where to look. This reduces cognitive load dramatically and prevents important information from slipping through the cracks.

For corporate professionals, this might mean using your company's preferred platform but creating a personalized dashboard that connects your tasks, projects, and information in one seamless ecosystem. This system scales as your responsibilities grow, unlike scattered notes across multiple platforms.

System #2: The Two Minute Rule

The Problem: Small tasks accumulate, creating a backlog that feels overwhelming and causes decision fatigue.

The Solution: If a task takes less than two minutes, do it immediately rather than adding it to your task list.

How it works:

  • When a task crosses your desk, ask yourself: "Will this take less than two minutes?"

  • If yes, do it right away

  • If no, add it to your trusted system (from Rule #1)

This system works because it prevents the accumulation of small tasks that create mental clutter. By handling quick tasks immediately, you keep your task list focused on meaningful work that requires deeper attention and energy.

Before implementing any new system, run it through these four questions:

  1. What specific problem does this system solve?

  2. Will I actually use it consistently?

  3. What would make me ignore or abandon this system?

  4. What's my simple success signal that tells me the system is working?

This filter prevents you from wasting time on elaborate systems that don't address real pain points. As I shared in the podcast, one of my corporate clients thought she needed a complex project management system with complicated workflows. After applying the filter, we realized her actual problem was decision fatigue around task prioritization. We pivoted to a simple priority matrix and daily review ritual instead—much simpler but far more effective.
