Real talk? If your systems aren’t actively supporting the schedule you want… they’re low-key plotting against you.
That was me—sitting down every Monday with a plan to feel like the CEO of my life, only to spiral into decision fatigue by 10:17 AM. I had the color-coded calendar. I had the “productive girlie” energy. But my systems? Sabotaging me quietly in the background.
Let’s fix that.
This is part two of the CEO Schedule series—aka how I stopped using time-blocking as a performative act of control and started designing a system that actually works for the way my brain, energy, and business operate.
Why Time Blocking Made My Burnout Worse (and What I Do Instead)
I’ve said it before and I’ll say it again: I hate time blocking.
It looks sexy on paper, but in real life? It was a rigid little prison that made me feel like I was behind before I even started. One bad night of sleep? Game over. One creative whim? Calendar chaos. It created more shame than structure.
Every day felt like I was swimming through an ocean of to-dos with no land in sight. I’d either work all day and have no clue what I actually did, or sit down at my desk and instantly forget how to adult.
That’s when I realized: The problem wasn’t me. It was my systems.
What Is a Burnout-Proof CEO Schedule (and Why Solopreneurs Need One)
A CEO schedule is a themed-day rhythm where each day of your week has a clear vibe and purpose.
It gives your brain fewer decisions to make and your to-do list some damn context.
Here’s what mine looks like:
🧠 Monday = CEO Day. Big picture planning. KPIs, finances, content strategy, and not a single call in sight.
📞 Tuesday = Client Day. It’s full-on service mode. Coaching calls, tutoring sessions, and diving into my offers.
🎨 Wednesday = Creative Day. Podcasting, writing, designing Notion templates… basically my little creative cave.
💬 Thursday = Community Day. Networking calls, visibility convos, and connection-building that doesn't drain me.
🧹 Friday = Catch-Up Day. Finish what didn’t get done, tie up loose ends, or dip out early if I nailed the week.
The themes help me enter the day with intention. I don’t start Tuesday wondering if I should be filming a YouTube video or revamping my offers. I know it’s client day. Boom. Mental clutter cleared.
The Systems Were the Problem (Not Me): Burnout-Proofing My Backend
I had the CEO schedule, and I wanted it to work. But my systems? They didn’t get the memo.
My Notion dashboards were giving ✨Pinterest aesthetic✨ but not actually helping me execute. I was clicking into seven different databases, trying to find what mattered for the day.
The result? A whole lot of white-knuckling. And that’s not the vibe.
So I asked the million-dollar question:
What if my systems were designed to support my CEO schedule—on autopilot?
How I Built Burnout-Proof Systems That Work With My Energy (Not Against It)
Here’s how I overhauled my Notion setup to work with my brain, not against it:
1. Daily Pages for the Win
I built out separate pages for every weekday: Monday through Friday. Each one reflects that day’s vibe and gives me direct access to everything I need.
Top of every page:
My current income goal
This week’s focus
Navigation to all the other days (because clicking around kills flow)
Then below:
A custom Power Hour (one intentional task that anchors my day)
Filtered, themed task list
Relevant dashboards and data (KPI, CRM, outreach, content, whatever the day calls for)
2. Daily-Specific Needs = Baked Right In
On Monday: I’m seeing sales data, new leads, conversions, and KPIs.
On Tuesday: I’ve got my client dashboards, student database, and service links prepped and ready.
On Wednesday: It’s my project gallery, content calendar, and podcast checklist.
On Thursday: I’ve got CRM views, networking pipelines, and outreach lists.
On Friday: Loose tasks from the week and networking events like Aligned AF or Six-Figure Circle.
Basically, I took the “what do I need today?” question out of the equation. It’s all waiting for me when I sit down.
3. Integrated with My Morning Routine
This was the game-changer.
My daily check-in routine flows right into my workday:
I track my habits and reflect on my 75 Hard
Set my top priorities
Then I click into the right day of the week and everything’s just… there
I don’t even use my general task list anymore. It’s all filtered through the lens of my CEO schedule.
And the best part? It finally matches the reality of my life.
My energy isn’t linear. I don’t always remember where I left off. But now, my systems don’t expect me to. They’re already teed up for success.
Burnout Recovery for the Chronically Overbooked: Why Solopreneurs Need Energy-Aligned Systems
Let’s be clear: I built this because I needed something sustainable, not aspirational.
I’m not trying to win the productivity Olympics. I’m trying to run a business that supports my life—not the other way around.
This daily setup takes the mental load off my plate. It’s flexible, ADHD-friendly, and designed for real life, not some fantasy where I’m a robot who never gets distracted.
It gives me structure without suffocation.
Clarity without rigidity.
Momentum without burnout.
Solopreneur Systems That Support Your Schedule (Instead of Sabotaging It)
If your backend doesn’t align with your actual life, it’s gonna burn you out—even if it’s built in Notion and looks cute as hell.
So here’s your move:
Pick your daily themes
Figure out what you need access to on each day
Build your pages (or adapt your existing system) so that every day is basically “open and go”
You deserve to sit down each morning with zero guesswork and 100% clarity on where your energy is best spent.
This isn’t about more hustle—it’s about smarter, burnout-proofed hustle.
